Te Whiwhinga mahi | The opportunity

Te Pūtahi Mātauranga, the Faculty of Arts and Education, is seeking an experienced and proactive Group Services Coordinator to join our cohesive, high-performing team. This role will support the School of Social Sciences' operations, and also provide support to Te Wānanga o Waipapa - School of Māori Studies and Pacific Studies, as required.

As the Group Services Coordinator, you will provide administrative support to disciplines and schools across contracts and HR processes, onboarding of new staff and doctoral students, purchasing, internal events, and advice on University policies and procedures.

Key responsibilities also include:

  • Coordinating recruitment processes and onboarding for new staff and doctoral students.
  • Managing purchasing, including Purchase Orders and PCard transactions.
  • Booking travel for the Head of School.
  • Acting as a key point of contact for School disciplines and liaising with a range of internal and external stakeholders.
  • Supporting the organisation and delivery of internal events.
  • Keeping up to date with, and providing advice on, University policies, procedures, and guidelines.

This position provides executive administrative support to the Head of School and requires a high level of integrity, discretion, and absolute confidentiality. Duties include diary management and coordination of meetings, with success in the role requiring excellent verbal, written, and interpersonal communication skills.

This is a full-time (37.5 hours per week), permanent opportunity. The salary range for this role is $63,600 - $79,300 per annum, dependent on skills and experience.

  • Be tertiary qualified or have proven relevant experience (ideally within a tertiary environment).
  • Demonstrate integrity and discretion in communication and decision-making.
  • Have the ability to build positive and effective working relationships with stakeholders.
  • Have the ability to multitask, prioritise competing demands, and meet deadlines.
  • Have excellent interpersonal, written, and verbal communication skills, with the ability to work effectively across different cultures and collaboratively as part of the wider Faculty professional staff team.
  • Be proficient in Microsoft 365 applications, particularly Outlook, Teams, SharePoint, OneNote, Excel, and Word.
