Business Support Specialist

Mō te tūranga | About the role
This role provides high-quality, proactive business support to the Pou Tūhono, elected members, and the Democracy Services and Tai-ranga-whenua teams. You’ll play an integral role in enabling effective governance and supporting smooth, efficient day-to-day operations.
The role is approximately evenly split between supporting the Democracy Services team, the Pou Tūhono, and elected members.
Key responsibilities include:
• Supporting governance-related meetings, programmes, events, and associated logistics
• Managing procurement and financial administration, including purchase orders, invoices, and PCard transactions
• Coordinating travel, accommodation, catering, and event arrangements
• Providing responsive, professional administrative and customer service support
• Delivering proactive diary, inbox, and workflow management support for the Pou Tūhono

You are an experienced business support professional who enjoys enabling others to perform at their best. You bring sound judgement, discretion, and a highly organised, detail-focused approach to your work.
You will:
• Be highly organised and accurate, with the ability to manage competing priorities
• Communicate clearly and confidently, both verbally and in writing
• Be comfortable working with senior leaders, elected members, and a diverse range of stakeholders
• Demonstrate initiative, flexibility, and a solutions-focused mindset
• Be trusted to handle sensitive and confidential information with professionalism and care
Mō ngā pūkenga | Qualifications and experience
• A certificate in business administration, management, or equivalent practical experience
• Minimum of five years’ relevant experience in a similar role
• Strong digital capability, including advanced Microsoft Office skills
Mō te tīma | About the team
• Democracy Services and Tai-ranga-whenua support effective governance and strong Treaty partnerships. The teams work closely with elected members, senior leaders, and stakeholders across the organisation, with a strong emphasis on collaboration, professionalism, and continuous improvement.
• You’ll report to the Democracy Services Team Leader and work closely with the Pou Tūhono on a regular
basis.
