Mō te tūnga | About the role

We have an exciting opportunity for a self-motivated and organised person to join our team at Progress to Health. You will provide proactive and quality administrative support to the chief executive and the leadership team helping us keep things running smoothly so we can deliver meaningful outcomes for our community.

What You’ll Be Doing:

You will be performing a variety of bookkeeping and administrative duties to support the financial health and growth of Progress to Health including:

Coordination of monthly financial functions:

  • maintain accounts payable and receivable,
  • review and report on income and expenses and
  • generate reports for chief executive, as requested.

Essential Functions:

Maintain financial recordkeeping for Progress to Health:

  • Enter and maintain records in Xero
  • Ensure proper paper/digital documentation of all expenses.
  • Provide documentation and account assignments for all monthly expenditures.

Review bills with the chief executive:

  • Document transaction details and enter financial transactions.
  • Notify the chief executive of accounting discrepancies.

Maintain financial recordkeeping systems, both physical and electronic.

Maintain grants records and reporting deadlines

Administrative Duties, include:

  • Manage personnel files and report
  • Produce letters and reports as needed
  • Answer phone calls, greet visitors and cover the reception desk as needed.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies and verifying receipt of supplies.
  • Maintain asset records and requirements, such as vehicle maintenance requirements and property repairs.

Mōu | About you

What We’re Looking For:

  • A minimum of 3 years’ experience in providing bookkeeping and/or administrative support to senior leadership (a relevant qualification is a bonus!)
  • Strong proficiency in the Microsoft Office Suite (especially Excel) and Xero.
  • Ability to analyse data, generate insights and develop reports and dashboards.
  • A positive, can-do attitude and a great sense of humour
  • Outstanding communication, organisation and problem-solving skills.
  • Ability to handle multiple tasks and meet deadlines.
  • A strong commitment to Te Tiriti o Waitangi and Te Reo Māori
  • A full, clean driver’s license

Bonus Points For:

  • Experience with minute-taking, project work, or research
  • Familiarity with the health and disability sector
  • An interest in IT or marketing
