The New Zealand Government wishes to ensure that Aotearoa New Zealand has world-class research capability in place to respond to infectious disease threats into the future informed by the improvement opportunities identified throughout the COVID-19 pandemic response. As such, an Infectious Disease Research Platform was established.

Now known as Te Niwha, the platform is hosted in partnership by The Institute of Environmental Science and Research (ESR) and the Ōtākou Whakaihu Waka | University of Otago, engaging communities and researchers through a nation-wide network. Te Niwha aims to:  

  • Build Aotearoa New Zealand’s infectious disease research capability for greater strength and scale. 
  • Ensure Aotearoa New Zealand is better prepared for known and emerging infectious disease threats, including future pandemics. 
  • Meet our obligations under Te Tiriti ō Waitangi and the aims of Pae Ora (healthy futures for Māori). 
  • Prioritise research to address health inequities. 
  • Link with international research. 

Te tūnga | The role

We have a fixed term full time opportunity until August 2025 for an experienced Executive Assistant to provide executive assistance and support to the Mana Whakahaere – Director of Te Niwha and the Mana Puutaiao - Science Director.

In this role you will be involved in: 

  • Advanced inbox and diary management for both directors, anticipating needs where possible.
  • Coordinating international and domestic travel requirements for annual conference and workshops related to platform initiatives including booking venues, transport, catering and flights.
  • Providing financial management support, tracking budget and invoicing requirements.
  • Providing documentation preparation services, including drafting letters, reports, PowerPoint presentations and other material.
  • Organising all logistics for relevant advisory and governance group meetings as required by the key members of Te Niwha, supporting these events by preparing agendas, taking minutes, distributing, and proactively following up on actions as required.

We are flexible on working location across Aotearoa New Zealand, including Tāmaki Makaurau, Pōneke or Ōtautahi.

To be successful in this role you will have:

  • Previous EA or PA experience delivering effective executive administrative support to senior management levels.  
  • Demonstrated ability to develop effective relationships and build high levels of credibility with senior leaders.
  • Honesty, integrity and the ability to keep sensitive information confidential.
  • High level of proficiency with Microsoft packages especially Outlook, Word, Excel and PowerPoint, and the ability to learn and use other software products as required.
  • Able to demonstrate an ability to plan and organise to achieve work programmes, meet deadlines and achieve quality standards, and manage conflicting deadlines and requirements for self and others. 
  • Demonstrated ability to express thoughts, information and ideas in a clear, concise, accurate and coherent way using an appropriate manner for the audience, verbally and in writing.
