Te āhua o Te Tūrunga – The nature of the position

Providing executive support to the CEO, we are seeking to attract a highly experienced EA, to effortlessly take ownership of diary management, schedules, emails, and managing appointment co-ordination. Providing effective and proactive support to the Board, and the senior leadership team as required, this is a position of real significance and merit.

Supporting of the Board Chair; attending meetings, taking minutes, preparing agendas arranging travel and logistics, you will coordinate and delegate to the business support administrator as required.  Managing the Leadership Team expense claims, air travel bookings and credit card reconciliations, you will have a keen eye for detail, and the mental agility to jump into and out of tasks, whilst ensuring accuracy is maintained. Ensuring that TRC Offices are run effectively and efficiently, you will cast a lens of continuous improvement across office process and procedures, to optimise and enhance efficiencies.

Working with the CEO to identify and meet organisational and statutory deadlines, you will always have solid understanding of political landscapes and the maturity of skill set to remain apolitical. Your high levels of confidentiality and professionalism will set you apart, and your skill set will see you delivering an exceptional level and quality of operational support.

Ngā tino Pūkenga/Whēako – Essential skills/experiences for the role.

Identifying key contacts within government departments and agencies, you will set about building effective working relationships across Auckland council, community, government agencies and departments.

Managing one direct report, you will have the skill set to train, mentor, and lead, setting the standards of professionalism, integrity, and accountability.

Skills, competencies, and experience required for application is to include;

  • Prior experience in providing executive support to a CEO or an Executive; including diary management, travel, and email management.
  • Previous Board Secretariat experience.
  • Knowledge and understanding of tikanga Māori and a working understanding of Te Reo Māori.
  • Advanced skills in Microsoft Office, Word, PowerPoint, Excel, Publisher, Outlook. Additionally, experience using Diligent is highly desirable.
  • Experience working within a complex organisation or government body.
  • Expert in managing and coordinating meetings including venues, catering, and equipment.
  • Strong interpersonal and leadership skills including a demonstrated ability to establish and maintain effective relationships with a wide range of stakeholders.
  • Well-developed communication skills and the ability to operate effectively with a high level of diplomacy.
  • Office and building management experience.

This position is very much hands-on, which will see you managing your internal stakeholders’ expectations, by producing accurate, highly professional outputs, sharing ideas and process improvements. As a strategic thinker, you will aptly navigate through competing timelines and workloads, demonstrating real independence and sensitivity to often highly confidential information. Priding yourself on your well-honed communication skills, you will work alongside senior leaders confidently and professionally, have excellent attention to detail and enjoy taking ownership tasks and projects.
